Cash Management

Cash Management is a feature that supports the parish office in maintaining a running record of money received and paid out locally: collections, donations, and everyday expenses. A parish sets up as many cash registers and accounts as it needs, each with its own cost centres; staff book date, transaction type and amount, and ChurchDesk keeps the running balance. Entries can be exported as CSV for the accounting office.

ChurchDesk Connect: The Social App

ChurchDesk’s Social App is your parish's own app for staying in touch with members, instead of spreading things across WhatsApp, Facebook and email. Members get a news feed with parish posts they can comment on and react to, group chats for the choir, youth group or committee, and direct messages that don't require anyone to share a private phone number. They can also see upcoming events and sign up with one tap, donate, request documents, and store files inside their groups. This app is part of ChurchDesk and therefore linked to contacts, calendar and workflows that all feed straight into it. Everything runs in line with church data protection rules, and members stay in control of which of their data is visible. Key & Inventory Management

This is a new feature inside the Finance module for managing physical assets, keys, equipment, instruments, and furnishings. This feature acts as a central registry where you can register items, monitor them, lend them out, and issue contracts. Key Features: • Items are categorized as Key, Furnishing, Furniture, IT Equipment, Instrument, or Other.  • Each item gets an auto-generated system ID, with the option to add your own number. You can also log specs like estimated value, replacement cost, and deposit. • Filter items by status: on loan, damaged, or lost. • Lending an item auto-generates a printable PDF contract. Sign it physically (download → upload signed copy) or request a digital signature via email. Contract statuses are tracked in an overview. • Returns can be marked as returned, damaged, or lost. Damaged items require an explanatory note. • Overdue loans trigger automatic reminders, first one a day after the due date, then every 7 days.

Smart Replies in Workflows Inbox

Parish offices can answer recurring cases such as baptisms, weddings or funerals in a few clicks instead of writing each reply from scratch. Choose a ready-made template and ChurchDesk fills in the contact's details. Close a case and it suggests a matching reply. Dioceses can write a template once and share it with every connected parish, so the tone stays consistent; each parish can still save its own version. Print Address Labels from Contacts

You can now generate printable address labels straight from your filtered contact lists. Useful for mailings, event invites, or any time you need physical labels. Key Features: • Filter or select contacts first; the print button stays disabled until you do, so you don't accidentally print a huge list. • Pick from 8 print formats matching standard label paper (Avery). The format sets the label layout on the page. • Clicking print downloads a docx file rather than sending straight to a printer, so you can review and edit before printing.  Please note: There's currently no warning if a contact has incomplete address data. Use filters to select only contacts with complete addresses before printing.

Central Consents & Privacy Policy Management

To ensure unified data protection standards and verifiable newsletter consent across all parishes in a portal (critical for KDG/DSG-EKD compliance), we are introducing central management for core legal texts. This makes maintenance much cheaper because a single change at the center immediately updates the whole network. Key Features: • Central Control & Automatic Adoption: The central organization (Portal Level) defines the core data privacy policy and newsletter consent, which local congregations automatically adopt as read-only texts for instance, portal-wide compliance. • Reduced Administration Effort: Legal text administration is streamlined, as changes to the central text are seamlessly pushed out and accepted by all congregations. • Local Flexibility: Congregations retain the ability to append their own necessary, context-specific supplements to the central policies, and these local additions will not be overridden by central updates. • Scope Note: Imprint (Impressum) management remains under local control.

Campaigns

Campaigns is a new feature that let parishes communicate with their members in a targeted, personal way, by email or by letter, without the manual effort of reaching out one by one. A campaign combines three things: 1) an audience (who to reach), 2) a message template (branded content), 3) a channel (email, letter, or both) This way you can reach thousands of members personally in just a few clicks. Campaigns are built for life events and recurring moments: birthdays, anniversaries, baptisms, or welcoming people who have newly moved into the parish. Set a trigger date, such as a member's birthday, and the message is sent automatically on the day, in the name of the local parish and priest. Templates can be created centrally by a diocese and rolled out to individual parishes, who run them locally. Each message is automatically personalized with the local parish's brand — logo, name, and sender — so every recipient experiences a personal message from their own church, even when the content was prepared once at the diocese level. Key Features: • Reach members at key life events with automated, trigger-based sending • Run several campaigns at once (e.g. birthday greetings and welcome letters together) • Use centrally created templates, or build your own with Studio • Multi-brand support: send in the name of many parishes, each with its own branding • Preview recipient numbers and send yourself a test message before going live • Automatic consent handling, so only members who have given valid consent are contacted This Feature is part of the “Contacts” module.

Liturgical & Collection details on events + New Intention Exports

To support migration of KaPlan to ChurchDesk we released 4 Key updates: 1) Users can now configure short names for both Parish entities and Parish resources, with the option to display them across all relevant outputs using a checkbox. 2) Calendar Reports now allow for the export of intentions. The generated list will exclusively feature events that contain intentions, structured in the following sequential format: 'time event 1: intention 1; intention 2; intention 3; time event 2: intention 1; intention 2.' 3) Liturgical & Collection Info: ChurchDesk users can now view the evangelium and readings directly on the event form and in print outputs. Website visitors are also able to see the readings. These can be managed via the categories within the ChurchDesk settings. 4) Now users can also set an abbreviation for each intention. For example: Stiftungen = StM (Stiftungsmesse). Those can be displayed in the GDO, calendar, and widget.

Subscribed calendars in Mobile App

Users can now see their private subscribed calendars from the web version directly in the ChurchDesk mobile app. Key features: • Private calendar entries are listed in the calendar overview, but cannot be edited • A checkbox lets users activate or deactivate subscribed calendars • Avoiding duplicate calendar feeds (if a user is part of multiple orgs and has the same calendar feed in multiple orgs, those will be collapsed to avoid duplication) Side note: • This feature fetches all subscribed calendars available in your organisation; e.g. in Multi-Parish setups, all of them will be listed Limitation: • External calendars can only be added on the web, not in the mobile app.

Rota Requests & Notifications

Purpose & Solution Previously, many parishes asked their members in advance by phone, email, or in person before adding them to a rota. This takes time and multiple work steps. This is exactly where the new rota request comes in: members are requested for a rota, but are entered directly, so they do not have to report back first to be confirmed. If someone cannot make it, they can cancel with a click directly from the email or reply to the email. 3 Improvements within the rota e-mail notifications: 1. “Rota Request” Email Notification (Updated) • Better overview of where, when, and with whom the rota takes place • User can send an answer to this email. The requested group leader will receive the answer. (same logic as within Newsletter) • Streamline members’ coordination by positioning rota assignments as requests, giving members the option to decline or reply directly via an updated e-mail notification. 2. Rota Reminder Email Notification (Updated) • Rota reminder is sent 3 days before a rota takes place. Only update here: User can now see with whom he/she is working together on the day. 3. “Missing Allocation” Email Notification (New) • If a rota duty is still unallocated 5 days before the event, rota group leaders are notified to be able to find a replacement. • Within the email notification, they can click “message group” or “manage rota” and will be forwarded to their ChurchDesk account.

One Profile: Linking Users & Contacts

Purpose & Solution ChurchDesk currently distinguishes between users and contacts. This division is often confusing for churches, as a person is simply an individual. Before this change, ChurchDesk required a person to be a user to participate in church activities like rotas. The ongoing integration of member registries will significantly increase the overlap between contacts and users. Therefore, we are now linking them. The immediate benefit of this linking is the ability to add contacts to rota duties and groups, even if there is no email address provided for the contact. Key Features: • All existing users automatically become contacts and show up in the People module — marked with a small blue dot and a new "Roles" column. • When creating a new user, matching contacts are suggested so you can link them right away. • Draft mode: users can now be set up without an email (can't log in yet). Admins can edit a draft user's name and details — fixing a long-standing safeguarding gap. Add an email and they become an active user. The old "created" status is now called "draft". • Draft users in rotas: they're now visible in rota and event booking dropdowns, so you can schedule them. Note: draft users don't receive notifications until activated. • Two emails per linked person: the user account (login) email and the contact email. You choose which is primary for messaging. Form submissions and donations match on both. • Group leaders can add contacts to groups directly — limited to the volunteer role and the contact's own parishes. • Unlink option: if a contact and user are linked by mistake, you can unlink. This auto-creates a fresh contact from the user data — to clean up a mis-link, merge that new contact with the correct one.
